By accessing or using the Service, the user (“User,” “Customer,” or “you”) agrees to be bound by these Terms. If you are entering into these Terms on behalf of an organization, you represent that you have the authority to bind that organization to these Terms. If you do not agree with these Terms, you may not access or use the Service.
1. Description of the Service
WriteMed.AI provides an artificial-intelligence–assisted platform designed to help scientific, clinical, and medical professionals draft manuscripts, publications, and related documentation. The Service may also provide workflow tools that assist in structuring documents, organizing references, formatting content, and supporting collaboration between authors and research teams. The platform is intended to accelerate drafting and improve workflow efficiency but does not replace the role of qualified authors, scientists, clinicians, or regulatory experts.
1.1 AI-Assisted Drafting Tools
The Service includes AI-assisted drafting tools that generate suggested text based on user-provided inputs. These tools are designed to help users structure ideas, summarize information, and produce early manuscript drafts more efficiently. All generated content should be considered a preliminary draft that requires professional review, editing, and verification before any formal use.
1.2 Document Structuring Assistance
WriteMed.AI may assist in organizing manuscripts into standard academic or scientific formats such as introduction, methods, results, and discussion sections. The platform may suggest headings, formatting, or logical sequencing to improve clarity and readability. These suggestions are informational in nature and do not guarantee compliance with any specific journal, regulatory authority, or publication guideline.
1.3 Editorial Support Features
The Service may include tools for grammar suggestions, language clarity, formatting support, or readability improvements. These editorial features are designed to help users refine documents and improve communication of scientific ideas. However, these tools do not replace professional editorial review or subject-matter expertise.
1.4 Collaboration Tools
WriteMed.AI may offer collaboration features that allow multiple users to review or contribute to manuscripts within the platform. These tools may include comment systems, revision tracking, and shared document access. Users are responsible for controlling access permissions and ensuring that collaborators are authorized to view or edit shared materials.
1.5 Formatting Support for Journals
The platform may assist users in aligning manuscript formatting with common journal standards. This may include reference formatting, structural suggestions, or document templates commonly used in scientific publishing. These features are provided as guidance and do not guarantee acceptance by any specific journal or publication.
1.6 Workflow and Productivity Features
WriteMed.AI may include project management tools that help users track manuscript progress, deadlines, or collaboration steps. These features are designed to improve efficiency and coordination among research teams. Use of these features does not constitute project management services or guarantee completion timelines.
2. Eligibility
2.1 Age and Legal Capacity
Users must be at least eighteen (18) years old and legally capable of entering into binding agreements. By accessing the Service, users represent that they meet these requirements. If a user does not meet these requirements, they must not use the platform.
2.2 Organizational Authority
If the Service is used on behalf of a company, university, hospital, or other organization, the individual accessing the Service must have the authority to bind that entity to these Terms. The organization will be responsible for the actions of its employees or representatives using the Service. Unauthorized use of the Service on behalf of an organization is strictly prohibited.
3. Acceptable Use
Users agree to use the Service responsibly and in accordance with applicable laws and ethical standards.
3.1 Unlawful Content
Users must not upload or distribute content that violates any law or regulation. This includes content related to fraud, illegal activities, or unlawful distribution of protected information. WriteMed.AI reserves the right to remove such content and suspend accounts that violate this rule.
3.2 Intellectual Property Violations
Users must ensure that they have the rights or permissions necessary to upload materials into the platform. Uploading copyrighted materials without authorization is prohibited. Users remain responsible for ensuring that their use of third-party materials complies with intellectual property laws.
3.3 Patient Data and Sensitive Information
Users must not upload personally identifiable patient information unless they are legally permitted to do so and have obtained all required consents. The Service is not intended to store protected health information without appropriate compliance safeguards. Users remain responsible for ensuring compliance with applicable privacy laws.
3.4 Misuse of the Platform
Users must not use the Service for deceptive, fraudulent, or unethical purposes. This includes generating misleading scientific claims or falsifying data. WriteMed.AI may suspend or terminate accounts engaged in such misuse.
3.5 Reverse Engineering
Users may not attempt to reverse engineer, extract, replicate, or analyze the underlying algorithms, software architecture, or models used by the Service. These technologies are proprietary to WriteMed.AI and are protected by intellectual property law. Unauthorized attempts to access such information may result in termination of service and legal action.
3.6 Platform Security Interference
Users must not interfere with the security, performance, or stability of the platform. Activities such as unauthorized system access, data scraping, or service disruption are prohibited. WriteMed.AI may take appropriate measures to protect its infrastructure.
4. AI-Assisted Content Disclaimer
4.1 Draft Suggestions Only
All AI-generated content provided by the Service is intended as draft assistance only. These outputs may include incomplete, inaccurate, or outdated information. Users must treat such outputs as starting points that require professional validation.
4.2 Professional Review Requirement
Users are solely responsible for reviewing and verifying all generated content before publication or submission. Qualified authors or experts must confirm the accuracy and appropriateness of any manuscript produced using the Service. WriteMed.AI does not assume responsibility for errors that remain after user review.
4.3 No Guarantee of Scientific Accuracy
Artificial intelligence tools may occasionally produce incorrect or misleading statements. WriteMed.AI does not guarantee that generated content will be scientifically accurate or appropriate for publication. Users must conduct independent validation of all outputs.
5. Intellectual Property
5.1 User Ownership of Uploaded Content
Users retain ownership of the documents, research materials, and data they upload to the Service. WriteMed.AI does not claim ownership over such user-provided materials. Users grant WriteMed.AI a limited license to process such content for the purpose of providing the Service.
5.2 Ownership of Generated Manuscripts
Subject to payment of applicable fees, users retain ownership of final manuscripts created using the platform. Users may publish, distribute, or otherwise use these materials at their discretion. WriteMed.AI retains no rights over final user manuscripts beyond those required to operate the platform.
5.3 WriteMed.AI Technology Ownership
WriteMed.AI retains full ownership of its software, platform architecture, machine learning models, and associated technologies. These assets are protected by intellectual property laws. Users may not reproduce, copy, or redistribute the platform’s underlying technology.
6. Data Protection and Confidentiality
6.1 Security Measures
WriteMed.AI implements commercially reasonable security measures designed to protect user data. These measures may include encrypted communications, secure hosting infrastructure, and access controls. While these safeguards are intended to reduce risk, no system can guarantee absolute security.
6.2 Confidential Research Data
Users may upload confidential research documents or unpublished data to the platform. WriteMed.AI will treat such materials as confidential and will not disclose them publicly without authorization. However, users remain responsible for determining whether uploading such information is appropriate under their institutional policies.
6.3 User Responsibility for Compliance
Users are responsible for ensuring that their use of the Service complies with applicable privacy laws, research ethics standards, and institutional guidelines. This includes determining whether patient-related information may be uploaded to the platform. WriteMed.AI does not monitor or validate user compliance with such obligations.
7. Use of Data
7.1 Aggregated Usage Data
WriteMed.AI may collect anonymized usage data related to platform performance and user activity. This information may be used to improve system functionality and reliability. Aggregated data does not include identifiable user documents.
7.2 Platform Improvement
Usage analytics may help WriteMed.AI improve AI models, user experience, and system performance. Such improvements are intended to enhance the overall quality of the Service. These improvements will not involve public disclosure of confidential manuscripts.
8. Payment and Fees
8.1 Subscription Fees
Certain features of the Service may require payment of subscription fees. These fees may be billed monthly or annually depending on the selected plan. Continued access to all the features may depend on timely payment.
8.2 Usage and Access
Access to the Service may include reasonable usage limits consistent with normal and intended use of the platform. Users will have visibility into their plan and any applicable boundaries at the time of purchase or onboarding. WriteMed.AI reserves the right to ensure fair and stable usage of the Service across all users, including making adjustments where usage materially exceeds typical or intended levels for scientific publication activities.
8.3 Professional Services
WriteMed.AI may offer optional consulting or support services related to manuscript preparation. These services may be governed by separate agreements or statements of work. Such services may involve additional fees beyond platform access.
9. No Guarantee of Publication
9.1 Journal Acceptance
WriteMed.AI does not guarantee acceptance of manuscripts by any journal or publisher. Editorial decisions are determined by independent peer review and editorial processes. Use of the Service does not influence publication outcomes.
9.2 Regulatory Acceptance
WriteMed.AI does not provide regulatory approval services or guarantees. Documents prepared with the assistance of the Service may require further professional review before regulatory submission. Regulatory outcomes remain the responsibility of the submitting organization.
10. Limitation of Liability
10.1 Indirect Damages
To the maximum extent permitted by law, WriteMed.AI shall not be liable for indirect or consequential damages. This includes loss of business, reputational harm, publication delays, or research disruptions. Such risks remain the responsibility of the user.
10.2 Liability Cap
All fees paid for access to or use of the Service are non-refundable and are deemed earned upon payment, including fees that support ongoing platform availability, infrastructure, and development. Users shall not be entitled to any refund, credit, reimbursement, or set-off under any circumstances, including based on actual or perceived usage levels, outcomes, or satisfaction with the Service.
Users are expected to evaluate the Service, review available materials, and determine suitability prior to purchase. WriteMed.AI may provide reasonable support to facilitate effective use of the platform; however, users remain responsible for how the Service is used and for validating all outputs generated through it.
WriteMed.AI shall not be liable for any claims, damages, losses, or expenses arising out of or related to the use of the Service, including but not limited to indirect, incidental, consequential, special, or punitive damages. Users acknowledge that the Service is a support tool requiring independent professional judgment and that use of the Service is at their own discretion and risk.
11. Indemnification
11.1 User Responsibility
Users agree to indemnify and hold harmless WriteMed.AI and its employees from claims arising from misuse of the platform. This includes claims related to unlawful data uploads or intellectual property violations. Users remain responsible for their content and activities.
12. Termination
12.1 Account Suspension
WriteMed.AI may suspend accounts that violate these Terms or pose security risks. Suspension may occur without prior notice in cases of serious misconduct. Users may contact support to request reinstatement.
12.2 Voluntary Termination
Users may terminate their accounts at any time. Termination will not relieve users of obligations related to unpaid fees. Certain provisions of these Terms may continue after termination.
13. Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of the State of Georgia, United States of America. Any legal disputes arising out of or relating to these Terms shall be subject to the exclusive jurisdiction of the courts located within the State of Georgia, United States of America.
14. Legal Fees and Dispute Resolution
14.1 Arbitration Requirement
Before initiating formal litigation in any court, the parties agree to first attempt to resolve any dispute, claim, or controversy arising out of or relating to these Terms through binding arbitration conducted in good faith.
Arbitration shall be conducted by a mutually agreed arbitration provider, or, if the parties cannot agree, by an established arbitration body located within the State of Georgia, United States of America. The arbitration proceedings shall take place within the State of Georgia, United States of America, and shall not be relocated to any other jurisdiction.
Each party shall be responsible for its own participation in the arbitration process, including preparing materials, scheduling attendance, and appearing for arbitration sessions. Each party shall initially bear its own costs related to arbitration, including its respective legal representation, travel, preparation time, and participation expenses.
Each party shall also be responsible for paying its respective share of arbitration administrative fees, filing costs, arbitrator compensation, and any related arbitration expenses as required by the arbitration provider. Notwithstanding the foregoing, the prevailing party in any arbitration may seek recovery of reasonable arbitration costs and related expenses to the extent permitted by applicable law.
If any party refuses or fails to reasonably cooperate in scheduling arbitration, participate in arbitration proceedings, or pay its required share of arbitration fees, such party shall be deemed in breach of this provision and shall be ineligible to initiate litigation related to the dispute. In such circumstances, the non-breaching party shall have no obligation to respond to any such litigation, and any such action may be considered frivolous. WriteMed reserves the right to seek recovery of legal fees, costs, and expenses incurred in defending against any such frivolous claims to the extent permitted by applicable law.
Participation in the arbitration process in good faith shall be a mandatory condition precedent to initiating any litigation in court, except where immediate legal relief is required to prevent irreparable harm.
14.2 Recovery of Legal Fees
If WriteMed or the Client initiates legal action arising out of or relating to these Terms, the prevailing party in such action may seek recovery of reasonable legal fees and court costs to the extent permitted by applicable law.
Recoverable costs may include attorney fees, court filing fees, administrative expenses, expert witness costs, arbitration fees, and other litigation-related expenses incurred in connection with the dispute.
In addition, if WriteMed.AI is required to defend against any claim, action, or proceeding that is determined to be frivolous, malicious, improperly brought, or in violation of the arbitration or dispute resolution provisions set forth in these Terms, WriteMed.AI reserves the right to seek recovery of all legal fees, costs, and expenses incurred in connection with such defense to the extent permitted by applicable law.
Any determination regarding the recovery and amount of such legal fees shall be made by the court, arbitrator, or adjudicating authority with jurisdiction over the matter.
15. Professional Conduct and Reputation
Users agree to engage with WriteMed in a professional and constructive manner consistent with industry standards within the scientific, medical, and research communities. Given the collaborative and reputation-sensitive nature of these communities, users shall not knowingly make or disseminate false, misleading, or materially inaccurate statements regarding the Service, its outputs, or WriteMed’s capabilities.
Users acknowledge that effective use of the Service may require familiarity with the platform, appropriate inputs, and professional judgment in reviewing outputs. Users agree to make reasonable efforts to understand the intended use of the Service and to seek clarification or support where needed before forming or communicating conclusions regarding its performance.
Nothing in this clause is intended to restrict lawful, good-faith feedback or legitimate professional critique. However, users agree not to publicly or privately communicate statements about the Service that are made in bad faith, are knowingly inaccurate, or are intended to harm WriteMed’s reputation.
WriteMed reserves the right to take appropriate legal action in response to any such conduct, including seeking monetary damages, including punitive damages where applicable, through binding arbitration or litigation as provided under these Terms, to the extent permitted by applicable law.
16. Force Majeure
WriteMed.AI shall not be liable for delays caused by circumstances beyond its reasonable control. These circumstances may include natural disasters, cyber incidents, infrastructure failures, or government actions. Service restoration will occur as soon as reasonably possible.
17. Entire Agreement
These Terms constitute the entire agreement between WriteMed and the user regarding the Service. They supersede prior agreements or discussions related to the platform. Any amendments must be published through updated Terms.
